The tracker auto-saves in this browser as you work. Download a backup file periodically, or restore from one on a new computer.
Worked out from the jobs already on the board — not a list I wrote. A carrier needs 10 claims before its shape counts for anything, and a shape has to turn up twice before it's treated as a real variant rather than a one-off. Below that it's only watching.
PDFs and photos back themselves up automatically.
This is the letterhead on every printed invoice — your logo top-left, name and address centered, exactly like your estimate sheets.
A PNG with a transparent or white background works best. It'll be scaled to fit the top-left corner of the invoice.
The round badge in the top-right corner. This wants a square image — a wide letterhead logo squashed into a circle is unreadable, which is why it's a separate picture rather than the one above. Leave it empty and the circle shows the shop's initials.
Starting rates on every new total loss job. You can still change any of them on an individual job.
Invoice numbers run in sequence. A job gets its number the first time you print its invoice and keeps it forever, so reprinting never changes it. Set the last-used number if you're continuing an existing sequence.
Offered as suggestions under Additional Charges on a total loss. The price fills in when you pick one and can still be changed on the job.
Tick a column to show it on the board. Hiding one keeps its position and width, so it comes back where it was. Drag the headers to reorder while the layout is unlocked.
Where the job came from. Renaming one updates every job using it.
Use the lock button at the top-right of the table to unlock it, then drag column headers to reorder them, or drag the edge of a header to resize. Lock it again when you're done.
Paste an Anthropic API key to have the Clean Up button rewrite notes properly — fixing any typo and tidying the wording, not just known misspellings. Get a key at console.anthropic.com. It's stored only in this browser and is never included in backup files. Without a key, Clean Up still works using the built-in offline corrector.
This tracker syncs automatically. Only change this if you're pointing it at a different Firebase database — paste the database URL or the full firebaseConfig block, then Connect.
Reports what's actually stored for attachments, and flags any job pointing at a file that's missing.
Nothing is added to the tracker until you click "Add to Tracker" below. Compare against the PDF on the right and fix or fill in anything needed — fields outlined in orange couldn't be found automatically.
Money that landed in the bank, matched to the jobs it paid for. Nothing here changes a job — it's a record of what arrived.
Extra info captured from the estimate PDF (if any), plus your own notes.
Once on this computer. After that it stays signed in.
Everything the job already knows is filled in. Add whatever it doesn't — it's kept on the job, so you only type it once. The sheet on the right is what prints.
Money that has been accounted for — matched to a job, or marked cash, manual or other. Anything still un-matched is left out, and so is money that was returned.
Start from an estimate if you have the PDF — the claim, customer, vehicle and amounts get read off it.
Snip the plate with Windows (Win+Shift+S) and press Ctrl+V here, or drop an image in. Every reading is checked against the VIN's own check digit and then against the federal database — only ones that decode to a real vehicle are offered.
Click a photo on the left to add it. Drag them on the right to set the order they print in — outside shots, then damage, then mileage.
Deleted jobs are kept here so nothing is lost by accident. Restore one to put it back in its month, or empty the bin to remove them for good.
